Frequently asked questions

What counts as an "active" client?

A client is active if it has had any activity (task, message, file, comment, tracking-map edit) in the last 60 days. Archived or dormant clients don't count against your cap.

What if I exceed my client cap?

You get a soft warning at 80% and a hard block at 100%. Unarchive an old client only if you have room. Upgrade anytime — proration is automatic.

Do client portal users count as seats?

No. Client portal access is free and unlimited on every paid tier. Only internal team members (owner, admin, member) count against your seat cap.

Can I switch tiers?

Yes, anytime. Downgrades are allowed as long as your active-client count fits the lower tier. Upgrades are instant with prorated billing.

Is there a free trial?

Yes — 14 days on any paid plan, no credit card required. If you never add a card, the trial simply ends and your workspace moves to Starter: we don't charge a card we don't have, and nothing you created is deleted. Add a card during the trial and billing starts when it converts. The trial is once per workspace — if your workspace has subscribed before, a new checkout starts the paid plan right away. The Starter tier is free forever for one client.

What does Starter include?

Starter is a working free tier for one client + two seats — full agency CRM, tasks, messages, internal notes, the activity log, and a 10-node preview of the tracking-map canvas. File uploads need a paid plan, and paid plans raise the tracking-map cap from 10 nodes per client to 200 (unlimited on Enterprise). Existing files (if any) stay readable + downloadable on Starter; new uploads need a paid plan.

Do you offer annual discounts?

Annual plans save roughly 17% (two months free). Billed once per year.

What does Enterprise include?

Unlimited active clients, 50 included seats (extra seats $4.99/mo), priority support, and an SLA. Enterprise is set up with our team — email contact@phloz.com and we tailor the plan, procurement paperwork (DPA, custom MSA), and volume pricing to your agency.
