If three of those five describe your agency, the structural upgrade pays back inside a quarter. If only one or two, stay where you are and revisit at the next pricing renewal — switching for marginal gain is usually a worse decision than the marginal gain.
When Zoho CRM is still the right choice
The honest counter-positioning. Zoho CRMisn't wrong for everyone — these are the cases where staying makes more sense than switching. If any of them describe you, weigh the trade carefully before migrating.
- You're already deep in Zoho One and genuinely use many of the 40+ apps — Books, Desk, Campaigns, Analytics. The suite economics only work when you live in the suite.
- Budget is the deciding factor and Zoho's low per-seat price across a whole suite is unbeatable for breadth-per-dollar.
- Outbound sales or multi-channel marketing automation is core, and Zoho's CRM + Campaigns + Social cover it.
- Your needs span well beyond a digital marketing agency — Zoho's breadth is the point.
Migration: what to plan for
Zoho CRM exports modules (Leads, Contacts, Accounts, Deals) to CSV. Map Accounts to clients, Contacts to client_contacts, won Deals to active clients; import via Phloz workspace import. Data spread across Zoho Projects / Desk needs separate exports per app. Zoho's custom modules and Deluge automations don't translate — re-express the few that matter in Phloz patterns. Plan 1-2 days given the multi-app spread.

Zoho CRM migration FAQ

- I use Zoho CRM plus Zoho Projects and Desk. Does Phloz replace all three?
- For agency work, largely yes — Phloz folds the client CRM, the delivery work (what you use Projects for), and per-client messaging (what you stretch Desk into) into one surface. It doesn't replace Zoho Books (accounting) or Campaigns (bulk email). The win is one agency-shaped tool instead of three Zoho apps you keep wiring together.
- Can I keep Zoho for sales and use Phloz for delivery?
- Yes. Keep Zoho CRM for the sales pipeline (and any Zoho apps you depend on); move client delivery + tracking into Phloz. At deal-won, export the Account to CSV and import as a Phloz client. Common when a team is invested in parts of Zoho One but wants an agency-shaped delivery layer.
- Does Phloz need as much setup as Zoho?
- No — that's much of the point. Zoho's power is its configurability; the cost is setup time and ongoing admin. Phloz ships agency defaults (clients, departments, tasks, tracking nodes pre-shaped), so a new workspace is live in under an hour versus the multi-week Zoho build-out.
What you keep when you migrate
The honest list of what survives the move from Zoho CRM. Your client list and contact records (CSV import). Your active tasks and their assignees, statuses, due dates (CSV import). Your custom fields, on clients and tasks (mapped to Phloz custom fields during import). Your inbound email addresses if you set up forwarding (re-pointed at the per-client Phloz inbound addresses).
What doesn't survive: historical activity logs older than what you'd realistically reference (most agencies discover they don't open activity from before the last quarter). Bespoke automation rules built on Zoho CRM's specific automation engine — these need to be re-expressed in Phloz's patterns (recurring tasks, status hooks, inbound thread routing) or offloaded to Inngest / Zapier. Time entries stay in your time-tracking tool of record (Phloz integrates rather than re-imports).
The trade is a lighter, more opinionated tool that runs your agency's shape natively — at the cost of some per-tool customisation that, in retrospect, was usually a workaround for a missing primitive.
