Alternative to GanttPRO

The GanttPRO alternative for digital marketing agencies

GanttPRO plans timelines. Phloz runs the agency — clients, portals, retainer-burn, and the tracking map — without the critical-path overhead.

What you're probably tired of

  • Critical paths and baselines for work that's actually recurring monthly retainers, not construction projects
  • No client concept — projects exist, but the relationship, contacts, and messages live elsewhere
  • Clients can't see or approve anything without a seat and a Gantt lesson
  • No tracking layer for the GA4/GTM/pixel setups you manage per client

What changes on Phloz

  • Agency-shaped delivery: tasks by client + department, Kanban/calendar views, recurring task templates for retainer cadences
  • A real CRM around the work — clients, contacts, per-client message threads
  • Free client portals: clients see deliverables, approve work, read reports via magic link
  • The typed tracking-infrastructure map + proactive tracking-health

Should you actually switch?

A switch is real cost — a few days of structural mapping, a parallel-running week, training time, and the friction of breaking habits your team has built. Worth it when the new tool meaningfully changes how you work; not worth it when the gain is incremental.

The five signals that you're ready to leave GanttPRO: (1) you're paying for seats or contacts you don't use, (2) you're running the tracking stack in a separate Sheet because the CRM has nowhere for it, (3) onboarding a new team member takes more than a day because the configuration is tribal knowledge, (4) clients ask "where do I see progress?" and you don't have a clean answer, (5) you're duplicating client data across two or three tools because no single tool fits.

If three of those five describe your agency, the structural upgrade pays back inside a quarter. If only one or two, stay where you are and revisit at the next pricing renewal — switching for marginal gain is usually a worse decision than the marginal gain.

When GanttPRO is still the right choice

The honest counter-positioning. GanttPROisn't wrong for everyone — these are the cases where staying makes more sense than switching. If any of them describe you, weigh the trade carefully before migrating.

  • Your projects genuinely need dependency management — 4 dependency types, lag/lead, critical path, baselines. Phloz's task model is deliberately lighter.
  • Long, sequenced engagements (site builds, migrations) where slipping one task must visibly re-plan the chain.
  • Stakeholders expect a Gantt as the deliverable artifact.
  • You're a PM-led org where the plan IS the product; Phloz is delivery-led, not plan-led.

Migration: what to plan for

Export projects + tasks from GanttPRO (CSV/Excel) and map projects to clients (or task groups under a client). Dependencies, baselines, and critical-path data do NOT come across — Phloz's tasks have due dates, priorities, subtasks, and recurrence, not dependency chains. Most marketing-agency work translates directly; genuinely dependency-heavy projects (site builds with hard sequencing) lose fidelity. Allow about a day.

The structural rethink — mapping GanttPRO's shape to Phloz's opinionated agency model — takes longer than the data move. Read the marketing agency CRM buyer's guide for the six capabilities that should drive the decision, and the pricing page to run the per-active-client math at your client count.

GanttPRO migration FAQ

The three questions agency owners ask before signing the switch decision. Honest answers — same data we'd give a friend evaluating the move.

Does Phloz have a Gantt chart?
No. Phloz has list, Kanban, and calendar views with due dates, priorities, subtasks, and recurring templates — but no dependency chains, critical path, or baselines. For monthly marketing retainers that's usually enough (the work recurs, it doesn't cascade). If your delivery is genuinely sequenced project work, GanttPRO's scheduling depth is real and you should keep it for those projects.
What do I gain that GanttPRO doesn't have?
The agency layer: a client CRM with contacts and message threads, free client portals with approval flows, retainer-burn (hours vs the monthly budget), and the typed tracking-infrastructure map with proactive health monitoring. GanttPRO manages a project's timeline; Phloz manages an agency's book of clients.
Can I keep GanttPRO for big projects and use Phloz day to day?
Yes. A common split: Phloz as the system of record for clients, retainers, day-to-day delivery, and tracking; GanttPRO for the occasional heavily-sequenced project (a site rebuild, a replatform). The overlap is small enough that the two don't fight.

What you keep when you migrate

The honest list of what survives the move from GanttPRO. Your client list and contact records (CSV import). Your active tasks and their assignees, statuses, due dates (CSV import). Your custom fields, on clients and tasks (mapped to Phloz custom fields during import). Your inbound email addresses if you set up forwarding (re-pointed at the per-client Phloz inbound addresses).

What doesn't survive: historical activity logs older than what you'd realistically reference (most agencies discover they don't open activity from before the last quarter). Bespoke automation rules built on GanttPRO's specific automation engine — these need to be re-expressed in Phloz's patterns (recurring tasks, status hooks, inbound thread routing) or offloaded to Inngest / Zapier. Time entries stay in your time-tracking tool of record (Phloz integrates rather than re-imports).

The trade is a lighter, more opinionated tool that runs your agency's shape natively — at the cost of some per-tool customisation that, in retrospect, was usually a workaround for a missing primitive. See agency project management software for the broader buyer's guide on what to evaluate alongside this switch decision.

The Phloz vs GanttPRO comparison covers what each tool does, what each doesn't, and when GanttPROis the right choice — for the cases where you're evaluating rather than already unhappy.
