Clients & groups

Add clients, organise them into groups, archive dormant ones, and use the inbound email address.

Add + edit clients

From /[workspace]/clients, click Add client. The form is short — only the name is required. Industry, budget, target CPA, geo targeting, and notes all go on the client's overview tab and can be edited any time.

Each client opens to a tabbed detail page: Overview, Contacts, Tasks, Messages, Tracking map, Audit, Files, plus an Access tab for owner/admin.

Client groups

Groups organise clients into portfolios — "Acquisition", "Retention", "Enterprise". Each client lives in at most one group. Manage at /[workspace]/clients/groups (owner + admin only).

Three ways to assign:

  • Right-rail picker on the client detail page (one at a time).
  • Per-group Add clients dialog from/clients/groups/[id] (bulk add to one group).
  • Bulk move button on the clients list header (search + multi-select + pick a target group).

Groups become powerful when paired with departments: assign "SEO Team" to the "Acquisition" portfolio and every client in the group is visible to every SEO teammate, automatically — including future clients you add to the group.

Inbound email address

Every client has a unique address like client-[id]@inbound.phloz.com. Forwarding an email to that address creates a message in the client's thread. The address is shown on the client header — copy it once and paste it into your forwarding rules or share it with the client directly.

Sender attribution: if the from-address matches a contact's email, the message is attributed to that contact; otherwise it's attributed to "system". Replies you send go out through the agency's domain (Resend) and route back into the same thread.

Archive vs delete

Archive clients when an engagement ends — the data stays (tasks, messages, tracking map, files) but the client stops counting against your tier's active-client cap. Restore later from the clients list with the "Archived" status filter.

The clients list header has a Bulk archive dormant button that archives every client with no activity in 90+ days in one click. Owners + admins only.

Delete is intentionally absent: an accidental delete would cascade through tasks, messages, the tracking map. Archive is reversible.

Client portal

Mark a contact's portal_access= on (in the client's Contacts tab) and Phloz emails them a magic link valid for 7 days. They land on a read-only portal showing only their company's data: messages they can reply to, public tasks they can comment on, files you've shared. No pricing, no other clients, no internal notes.

Portal users don't count against your seat cap and are unlimited on every paid tier.
