Alternative to Synergist
The Synergist alternative for digital marketing agencies
Synergist is heavyweight, finance-first agency management. Phloz is the delivery-first alternative: the tracking map, plus retainer-burn over full job costing.
What you're probably tired of
- A heavy, implementation-led platform built around job costing — more than a digital marketing agency needs day to day
- No concept of tracking infrastructure (the GA4/GTM/pixel setup you actually manage per client)
- Finance-first UX; the people doing the delivery work aren't the ones it's built for
- Opaque, quote-based pricing
What changes on Phloz
- A modern, self-serve platform built delivery-first — live in an hour, not a rollout
- The typed tracking-infrastructure map + proactive tracking-health none of the PSA tools have
- Lightweight retainer-burn (logged time vs the retainer hours, over-servicing alerts) instead of full job costing
- Per-active-client pricing you can see on the pricing page
Should you actually switch?
A switch is real cost — a few days of structural mapping, a parallel-running week, training time, and the friction of breaking habits your team has built. Worth it when the new tool meaningfully changes how you work; not worth it when the gain is incremental.
The five signals that you're ready to leave Synergist: (1) you're paying for seats or contacts you don't use, (2) you're running the tracking stack in a separate Sheet because the CRM has nowhere for it, (3) onboarding a new team member takes more than a day because the configuration is tribal knowledge, (4) clients ask "where do I see progress?" and you don't have a clean answer, (5) you're duplicating client data across two or three tools because no single tool fits.
If three of those five describe your agency, the structural upgrade pays back inside a quarter. If only one or two, stay where you are and revisit at the next pricing renewal — switching for marginal gain is usually a worse decision than the marginal gain.
When Synergist is still the right choice
The honest counter-positioning. Synergistisn't wrong for everyone — these are the cases where staying makes more sense than switching. If any of them describe you, weigh the trade carefully before migrating.
- Full job costing is central — Synergist's cost-vs-revenue-per-job, rate cards, and margin tracking are its flagship; Phloz's retainer-burn is deliberately lighter.
- You bill across multiple service lines (creative + dev + media) and need per-service-line profitability — Synergist tracks that; Phloz doesn't.
- Your finance team is the primary daily user of the platform — Synergist is finance-ops-first, Phloz is delivery-first.
- You're a larger UK agency already live on Synergist with the integrated invoicing embedded in your operations.
Migration: what to plan for
Synergist exports clients + projects via CSV/API. Map clients 1:1 and projects to client task groups. The deep financials — detailed job costing, cost-vs-revenue, invoicing — do NOT come into Phloz by design; Phloz does lightweight retainer-burn, and heavy costing/accounting offloads to your finance tool. Allow 1–2 days for structural mapping; you're shedding complexity, not carrying it over.
The structural rethink — mapping Synergist's shape to Phloz's opinionated agency model — takes longer than the data move. Read the marketing agency CRM buyer's guide for the six capabilities that should drive the decision, and the pricing page to run the per-active-client math at your client count.
Synergist migration FAQ
The three questions agency owners ask before signing the switch decision. Honest answers — same data we'd give a friend evaluating the move.
- Synergist does full job costing. Does Phloz replace that?
- No — Phloz does the lightweight slice: log time against a client, roll it up against the retainer hours, and flag over-servicing. That answers "are we blowing this retainer?" without rate cards, cost-vs-revenue, or invoicing. If you need true job costing and margin-per-job accounting, Synergist (or another PSA) is the better fit; Phloz keeps time tracking deliberately simple and offloads the money to your accounting tool + Stripe.
- What does Phloz have that Synergist doesn't?
- The tracking-infrastructure map + proactive tracking-health — modelling every client's GA4/GTM/pixel/CAPI setup as a typed graph, auditing it, scoring it 0–100, and emailing you when a client's tracking breaks. No PSA tool, Synergist included, has this. Plus a modern, fast, self-serve UI that doesn't need an implementation project.
- How disruptive is moving off Synergist?
- 1–2 days of structural mapping for clients + projects. The migration is bounded by how much LESS Phloz carries — you're not bringing job costing and invoicing across, which removes most of the work. Plan a parallel period to move accounting to QuickBooks/Xero + billing to Stripe if Synergist was your invoicing system.
What you keep when you migrate
The honest list of what survives the move from Synergist. Your client list and contact records (CSV import). Your active tasks and their assignees, statuses, due dates (CSV import). Your custom fields, on clients and tasks (mapped to Phloz custom fields during import). Your inbound email addresses if you set up forwarding (re-pointed at the per-client Phloz inbound addresses).
What doesn't survive: historical activity logs older than what you'd realistically reference (most agencies discover they don't open activity from before the last quarter). Bespoke automation rules built on Synergist's specific automation engine — these need to be re-expressed in Phloz's patterns (recurring tasks, status hooks, inbound thread routing) or offloaded to Inngest / Zapier. Time entries stay in your time-tracking tool of record (Phloz integrates rather than re-imports).
The trade is a lighter, more opinionated tool that runs your agency's shape natively — at the cost of some per-tool customisation that, in retrospect, was usually a workaround for a missing primitive. See agency project management software for the broader buyer's guide on what to evaluate alongside this switch decision.

The Phloz vs Synergist comparison covers what each tool does, what each doesn't, and when Synergistis the right choice — for the cases where you're evaluating rather than already unhappy.
