Resource Guru holds people + bookings, not client data, so there's little to migrate — bring your client list from wherever it actually lives (CSV import) and start logging time against clients in Phloz. What does NOT come across is the capacity layer: Phloz has no booking grid, availability, or leave management. If you need true capacity planning, keep Resource Guru alongside — the tools barely overlap.

- Does Phloz do resource scheduling like Resource Guru?
- No. Phloz has departments, task assignees, due dates, and a calendar view — but no availability model, booking grid, leave management, or clash detection. Resource Guru is genuinely good at that. Phloz answers a different question: not "who's free on Tuesday" but "is this client's work delivered, approved, on-retainer, and is their tracking intact".
- Can I run Phloz and Resource Guru together?
- Yes, cleanly — they barely overlap. Resource Guru schedules the people; Phloz holds the clients, the delivery, the time-vs-retainer rollup, and the tracking map. Agencies with a real capacity problem run both; agencies whose scheduling fits in a team calendar usually find Phloz's assignees + due dates enough and drop the separate tool.
- Phloz has time tracking — is that the same as Resource Guru's?
- Different direction. Resource Guru plans time forward (bookings against availability). Phloz logs time backward (hours actually spent, rolled up against the client's monthly retainer with over-servicing alerts). Planning vs burn — if you need both, they complement rather than compete.
What you keep when you migrate
The honest list of what survives the move from Resource Guru. Your client list and contact records (CSV import). Your active tasks and their assignees, statuses, due dates (CSV import). Your custom fields, on clients and tasks (mapped to Phloz custom fields during import). Your inbound email addresses if you set up forwarding (re-pointed at the per-client Phloz inbound addresses).
What doesn't survive: historical activity logs older than what you'd realistically reference (most agencies discover they don't open activity from before the last quarter). Bespoke automation rules built on Resource Guru's specific automation engine — these need to be re-expressed in Phloz's patterns (recurring tasks, status hooks, inbound thread routing) or offloaded to Inngest / Zapier. Time entries stay in your time-tracking tool of record (Phloz integrates rather than re-imports).
The trade is a lighter, more opinionated tool that runs your agency's shape natively — at the cost of some per-tool customisation that, in retrospect, was usually a workaround for a missing primitive.
