Use case

AI client management for marketing agencies

Ask your AI assistant which clients need you this week, and get an answer built from your agency's own records. Connect Claude, ChatGPT or another MCP assistant to your Phloz workspace and it can triage every client at once, brief you on one, or explain why a client's Google Ads results dropped: open work, waiting client messages, tracking health, Google Ads alerts and audits, with the numbers behind every point.

Why a general AI cannot run your book

An assistant that only sees what you paste into the chat is guessing. It does not know which client has waited four days for a reply, which conversion tag broke on Tuesday or whose ads stopped spending. Exports go stale the moment they are made, and copying client data into a chat window is a habit most agencies would rather not have.

One call for the whole book

The portfolio briefing triages every client you can see in one read. Urgent: money or data being lost now, or a client kept waiting three days or more. Soon: overdue work, Google Ads warnings, requests to triage. Watch: quiet clients, blocked tasks, a low Google Ads audit score. Every flag carries the number behind it, and the order is a stated rule rather than a model's opinion, so the assistant and you can both see why a client is on top.

One call per client

The client brief puts one client in the round: open work and the most pressing tasks, unanswered client messages, retainer hours used this month, the tracking audit with its top findings, and Google Ads — the last seven days against the four weeks before, open alerts and the weekly audit. It is what you want in front of you before a client call, or before writing their update.

Ready-made workflows

Nine prompts come with the connection. A weekly portfolio review sorts the week into do first, this week and watch. A Google Ads diagnosis reads the daily figures, the alerts, the audit and the tracking map, and ranks the likely causes with the evidence for each. A client update drafts a plain-language status note from the brief, for a person to send. Find negative keywords turns the audit's wasted search terms into a paste-ready list per campaign that a person applies in Google Ads; check ad spend pacing compares this month's spend with the budget agreed with each client; answer the client inbox saves a reply draft on each unanswered conversation. The others audit a client's tracking, plan a department's week and review quiet clients.

Your access, nothing more, on the record

The assistant acts with your role and your client assignments, in one workspace. A read-only connection is never shown the write tools, the Google Ads parts need a plan with Ads Health, and anything the connection cannot read is named rather than left blank. Every request, reads included, lands in the workspace's Activity log under your name. The assistant cannot write or send a message to a client (a reply is a draft a person sends), change Google Ads or change billing. One change reaches clients, as it does in the app: moving a request or a shared task to a new stage sends its contacts the usual progress email.

Common challenges agencies hit on this

The recurring obstacles agencies report when running this use case. Honest list — these aren't Phloz-specific problems, they're patterns we see across most agencies regardless of tooling. Worth recognising even if you don't end up on Phloz.

  • Monday mornings go on opening every client to find out what changed, before any work starts
  • Each client's state is spread across the task list, the inbox, the tracking setup and the ad accounts, so nobody sees it whole
  • General AI tools give confident advice about clients they cannot see, and pasting client data into them raises its own questions
  • The account lead writes the same weekly client update by hand from five different screens

How agencies use this in practice

The pattern that works across most agencies running 5–50 clients: scope the use case as a discrete operational surface, assign a single owner (usually the ops lead or tracking engineer), set a recurring cadence (weekly check, monthly audit, quarterly review), and connect it to the rest of the agency's work via the tracking map and the per-client task surface.

The 1-2-week setup window is the same regardless of tool — the differentiator is whether the tool ships the primitives you need (client, tracking node, recurring task, audit template) or makes you build them yourself out of custom fields. Phloz ships them; generic PM tools don't. That's the entire trade-off, and it's only worth paying for once you have the client volume to need it (typically 5+ retainers).

Frequently asked questions

The three questions agencies ask most often about this use case. Honest answers — same data we'd give a friend evaluating the approach.

Which AI assistants work with Phloz?
Any assistant that supports MCP (Model Context Protocol) connectors over HTTPS. Claude connects from claude.ai's connector settings, and ChatGPT, Cursor, Gemini and others add Phloz as a custom connector. You sign in to Phloz and approve one workspace, read-only or read and write. The MCP server is included on Growth and above.
Does the AI make decisions for us?
No. It reads facts and proposes; you decide. The briefing orders clients by a fixed, stated rule and shows the numbers behind every flag, and the prompts end in proposals: tasks to create, checks to run, an update to send. Nothing is created or sent unless you ask. The assistant never writes to a client; the one change a client hears of is a stage move on an item they see, which emails them as it does when you make it.
What can the assistant see?
What you can see, no more: the clients you are assigned to (all of them, for owners and admins), in the one workspace you approved. Retainer amounts stay with owners and admins, as in the app. Client messages are read as data, never as instructions, and Google Ads figures are the stored morning check, not a live connection to your ad accounts.
